Email has now become the quickest and cheapest form of communication. This is a short list of some points to keep in mind to avoid getting into trouble and how to have an efficient mailbox system.

 

Do:

  • Use fairly informal language unless it is extremely official. Researchers say that simple style      and tone makes easy reading and comprehending the text content.
  • Proof read before you hit the ‘send’ button. Messages cannot be retrieved once sent.
  • Check the ‘To:’ and ‘CC:’ fields before sending
  • Confirm the Email Ids or else your mail will bounce back
  • Organize your INBOX and OUTBOX.
  • Trash unsolicited mails.
  • Before deleting from the trashbox , re confirm if the mails are totally unwanted.
  • Even if a blunder is made be prompt to send an apology
  • Install a good anti virus program which will scan your incoming and out going mails for any virus.
  • Be aware of spam-mails and use anti spam software to filter your mails.

 

Don't :

  • Don’t use loud language. Using capitals in the body text implies that you are SHOUTing, unless you want to convey something very strongly.
  • Don’t misuse the confidentiality.
  • Don’t be abusive.
  • Don’t over use the CC and BCC fields.
  • Avoid forwarding the mails with pages of unknown Email ids and >>>>>> marks.
  • Try not to divulge other person’s Email Id without his knowledge to a third person. This happens when you simply hit the forward button.
  • Don’t hit “Reply-To-All” button, because your reply goes to every other Email id in the original sender’s list. For recipients this may be an unsolicited mail.
  • Don’t be a habitual sender of Email with large attachments, unless the receivers really appreciate it.
  • Don’t download any exe files or other attachments if you are not sure of the sender or his purpose of sending it. Many times these executable files contain malicious code which may harm your computer
